Everything you can do in Brushtrail
Brushtrail is your private catalog of paintings, galleries, sales, and payments. Only you can see your gallery once you sign in. This guide walks through each part.
1 Signing in
Go to brush-trail.com and enter the email and password you were given. Your gallery is private — nobody sees it unless they sign in as you.
- Remember my email on this device — tick this so you don't have to retype your email next time.
- Show / Hide — tap the toggle on the password box to reveal what you're typing if you want to double-check it.
2 Your password
Two links sit under the sign-in button, for two different situations:
- Change password — use this when you know your current password and want a new one. Enter your email, your current password, and a new password. No email needed.
- Forgot password? — use this if you're locked out. It emails you a reset link. (This relies on email delivery being set up.)
3 The gallery directory
The home screen is your Gallery Directory — a card for each gallery your work is placed in. At the top you'll see two highlight cards:
- Highest Seller — the gallery with your best sales for the selected year.
- Studio — your Studio Collection: pieces not yet placed with a gallery.
Use the year selector to change which year's sales totals are shown, Show all paintings from [year] to see every piece, or Sales chart — all galleries for a chart across everything. Tap any gallery card to open just that gallery.
4 Creating a gallery
Tap Create gallery in the top bar to add a place your work is shown. Enter a gallery name (required) plus an optional address, phone, and commission (%). These details — including the commission — apply to every painting you list under this gallery, so you won't re-enter them when adding a piece. Change the commission any time from Edit gallery and it updates every painting in that gallery at once.
5 Adding a work
Tap Add work in the top bar. On a phone you'll see a simple form with just the essentials; tap Add more details to expand the rest. On a tablet or computer the full form shows automatically.
The essentials
- Title * — the name of the piece.
- Unframed photo * — tap to take a photo with your phone or choose one from your library.
- Framed photo — optional; add a framed version and you can toggle between the two when viewing the piece.
- Gallery name * — defaults to Studio Collection; change it to the gallery holding the piece.
More details (optional)
Price, frame cost, shipping cost, art panel cost, frame size, what it's painted on, the date finished, and flags for on consignment, certificate of authenticity, and commissioned piece. Blank cost fields simply count as $0.
6 Browsing your works
Open a gallery (or “Show all paintings”) and use the filter rail to narrow things down:
- Gallery — jump to a different gallery.
- Age — last week, month, 3/6 months, year, or older.
- Status — Available, Sold, or All.
- View — a simple or detailed layout.
Tap a piece to see it larger. If it has both an unframed and framed photo, you can switch between them.
Use ← Show all galleries (the outlined button at the top of a single gallery) to return to the full directory.
7 Editing & deleting
- Edit a work — open it and choose edit; the full form opens with everything filled in. Change what you need and save.
- Edit a gallery — open the gallery, tap Edit gallery, and update its name, address, phone, or commission. Changes apply to every painting in that gallery.
Deleting a gallery
In the Edit gallery screen, tap Delete this gallery at the bottom. If the gallery still has paintings, you choose what happens to them:
- Move paintings to Studio Collection — the gallery is removed but its paintings are kept safe in your Studio Collection.
- Delete gallery and its paintings — removes the gallery and permanently deletes every painting in it.
8 Marking sold & tracking payments
When a piece sells, mark it Sold and set the sale date. You also record whether the gallery has paid you:
- Payment pending — sold, but you haven't been paid yet.
- Paid — money received.
Any pieces still awaiting payment appear in a Payment pending panel in the corner, with a running total of what you're owed. Tap it to collapse it, tap an item to jump to that piece.
9 Reports & sales charts
- Consignment Report — open a gallery and tap it for a per-piece breakdown of price, costs (frame, art panel, shipping, commission), and your profit. Print it or save it as a PDF.
- Sales Chart — a visual of sales over time, either for one gallery or across all of them (Sales chart — all galleries on the home screen).
10 Sharing your portfolio
Your gallery is private — but you can publish a public portfolio page to share a chosen set of your work with collectors and galleries. They browse it from a simple link, no login required, and can send you an inquiry about any piece with one tap.
Publishing it
Tap Share portfolio in the top bar, then:
- Enter your portfolio name (your name or studio) and a link name (this becomes your web address, e.g. brush-trail.com/portfolio.html?a=your-name).
- Optionally add a short bio and a contact email to show buyers.
- Under Choose which works to show, tick the pieces you want public — pick from the works you've already uploaded. Sold pieces you include are shown marked “Sold.”
- Tap Publish portfolio. You'll get your live link with Copy and View buttons — share it anywhere.
Come back any time to change what's shown, or tap Unpublish to take the page down. Your public page only ever shows the title, image, size, medium, price, and sold status — never your costs, commission, or profit.
Inquiries
When someone taps Inquire on a piece, their message lands in your app under Messages → Inquiries from your portfolio, with their email and which piece they asked about.
11 Themes & devices
- Light or dark background — pick your preference from the background selector in the corner; it's remembered on your device.
- Works across your devices — your gallery lives in your account, so it's the same on your phone, tablet, and computer. Add a piece on one and it appears on the others automatically.
